These Terms & Conditions ("Terms") govern your reservation and stay at Buffalo Trail Cabins, Treehouses & Resort ("Buffalo Trail," "we," "us") and your use of our website at buffalotrailcabins.com. By booking, staying with us, dining, or renting equipment, you agree to these Terms.

Reservations & Payment

• The primary guest must be at least 18 years old with a valid government-issued photo ID at check-in. Guests under 18 must be accompanied by a parent or guardian staying in the same unit.
• A valid credit card is required for every reservation.
• A deposit equal to the first night's rate is charged at booking to confirm your reservation. The remaining balance is collected at check-in.
• Rates are in U.S. dollars and exclude applicable lodging, state, and local taxes.

Cancellation & Refund Policy

• Cancel 31+ days before check-in for a full refund of your deposit, minus a $25 processing fee.
• Cancel 11–30 days before check-in to receive a 50% refund of your deposit.
• Cancellations within 10 days of check-in: deposit is forfeited.
• Date changes with 2+ weeks notice carry no penalty.

Check-In & Check-Out

• Check-in: 4:00 PM
• Check-out: 11:00 AM
• Early check-in and late check-out may be available — please ask at booking.
• Late check-out without prior approval incurs a $50/hour fee.

Property Rules

Smoking & Vaping

All cabins, treehouses, and lodges are strictly non-smoking. Smoking or vaping inside any unit incurs a $250 cleaning fee. Smoking is permitted outside in designated areas.

Pets

• Pet-friendly units are clearly marked on our Accommodations page. Several lodges are not pet-friendly; please respect the listing.
• Non-refundable $50 pet fee per pet. Pets found in non-pet-friendly units result in a $250 cleaning fee.
• Pets must be leashed outside the unit and never left unattended.
• Guests are responsible for cleaning up after their pets and for any damage they cause.

Quiet Hours

Quiet hours are 10:00 PM to 7:00 AM. We are a family-friendly resort. Excessive noise, disorderly conduct, or repeated violations may result in removal without refund.

Occupancy & Guests

Each unit lists a maximum occupancy. Exceeding the limit is grounds for additional fees or removal. Visitors of registered guests must check in at the office and leave by 10:00 PM.

Damage & Cleanliness

Guests are responsible for the unit during their stay. The credit card on file may be charged for damage beyond normal wear, missing items, or excessive cleaning needs.

ATV & SXS Rentals

Trail riding is the core of what we do. Rentals carry their own rules in addition to these Terms:

• All operators must be at least 16 years old with a valid driver's license. Drivers under 18 require a parent/guardian on-site to sign.
• A signed liability waiver is required from every rider, including passengers.
• Helmets and eye protection are required at all times on the trails.
• Hatfield-McCoy trail permits are required by state law. Purchase at the office or in advance.
• Damage, missing equipment, lost keys, and recovery/towing are charged to the renter's card on file.
• Operating while impaired by alcohol or any controlled substance is grounds for immediate termination of rental with no refund and may result in legal action.

Assumption of Risk & Liability

Outdoor recreation — including but not limited to ATV/SXS riding, hiking, swimming, fire pits, treehouse stays, and use of property amenities — involves risks of injury, illness, property damage, and death. By staying with us, you assume those risks and agree that Buffalo Trail, its owners, employees, and agents are not liable for personal injury, illness, theft, loss, or property damage arising from your stay, except as required by law.

You agree to indemnify and hold harmless Buffalo Trail from any claims, damages, or expenses caused by your conduct, your guests, or your pets.

Website Use

Content on this website — text, photos, logos, and layout — is the property of Buffalo Trail or licensed to us. You may not copy, reproduce, or redistribute it for commercial use without written permission. The site is provided "as is" without warranties of any kind.

Photography & Media

We occasionally photograph the property and guests for marketing. If you do not want to appear in marketing materials, please tell us and we'll respect that.

Governing Law

These Terms are governed by the laws of the State of West Virginia. Any disputes will be resolved in the state or federal courts located in Mercer County, West Virginia.

Changes to These Terms

We may update these Terms at any time. The "Last updated" date above will reflect any changes. The version in effect at the time of your booking governs that reservation.
